We’re hiring: Documentation and Systems Coordinator (Part-time)

We are seeking a detail oriented operations and systems thinker to document and create Standard Operating Procedures for various facets of operations at 10C Shared Space and the Guelph Farmers’ Market. This role is open to current students in the Gordon S. Lang School of Business and Economics, University of Guelph. 

You will interface with other members of the 10C team, while leading this initiative.

  • Location: Guelph, Ontario (in-person/hybrid/due to the nature of the work, maximum  25% virtual)
  • Contract Length: Commences ASAP. Duration is flexible from 6–9 months. Increased hours during summer months is an option.
  • Hours/Compensation: Part-time / project-based. $25 per hour approx 10-30 hours per week. Maximum total contract value for this position over the period is $10,000.
  • As all content is cloud-based, this role will require the candidate to use their own computer.

About the Role

10C Shared Space has a range of project and activity areas. These are led by the team and in 2026, we would like to develop detailed documentation about the core facets of this work. The Operations Documentation & Systems Coordinator will work closely with team members to document these processes and create clear, accessible Standard Operating Procedures (SOPs) that support organizational clarity, consistency, and continuity.

This role will help translate day-to-day operational knowledge into structured documentation. Through shadowing staff, conducting interviews, and reviewing existing materials, the Coordinator will develop SOPs and a clear, intuitive documentation system that can support onboarding, cross-training, and long-term organizational resilience.

This role is well suited to someone who enjoys making complex systems clear, has strong organizational skills, and is comfortable working collaboratively with staff while also completing independent documentation work.

Key Responsibilities

Process Documentation

  • Work with team members to document key operational processes across 10C Shared Space, the Nourish Kitchen and the Guelph Farmers’ Market
  • Observe staff to understand workflows, responsibilities, and decision points
  • Conduct structured interviews with staff to capture tacit operational knowledge
  • Draft clear, practical Standard Operating Procedures (SOPs)

Systems Organization

  • Review existing documents, links, manuals, and operational resources
  • Consolidate and organize materials into a clear and accessible structure
  • Utilize AI tools to support this work where relevant
  • Develop an intuitive table of contents, documentation framework and learning tools for organizational use
  • Identify gaps in existing documentation and prioritize areas requiring clarification

Collaboration & Knowledge Capture

  • Work collaboratively with staff to verify and refine process documentation
  • Translate informal knowledge and practices into clear written guides with a user-friendly table of contents
  • Ensure SOPs are practical, easy to follow, and adaptable as operations evolve

Deliverables

  • Draft SOPs for key operational areas across the organization
  • Recommendations for maintaining and updating SOPs over time

What You Bring

The ideal candidate will bring a strong systems mindset and the ability to work collaboratively with a small team. This role is ONLY open to current students in the Gordon S. Lang School of Business and Economics, University of Guelph. We are particularly interested in candidates who have:

  • Strong organizational and written documentation skills and the ability to create clear, structured documents
  • Experience documenting processes, operations, workflows, or organizational systems
  • An interest in operational efficiency and ability to note suggested areas of improvement
  • A systems-oriented mindset and attention to detail
  • Strong interpersonal skills and the ability to interview and work with diverse team members
  • Comfort working both independently and collaboratively

Assets may include:

  • Experience with operations, knowledge management, or organizational systems
  • Experience working in non-profit or community-based organizations
  • Familiarity with digital documentation and training tools (e.g., shared drives, knowledge bases, curriculum for training design, and AI tools)
